FormFast: Bridging Gaps with Document Automation

 Art Nicholas, Chief Revenue Officer
Most healthcare organizations today are implementing electronic health records (EHR) as part of a core objective: to make all clinical documentation processes paperless.

Even with these systems in place, healthcare leaders are surprised to find that, despite their large investment (and large expectations), paper and the document management challenges associated, remain.

The cycle of scanning the paper forms and then manually indexing them in the appropriate folder in the document management system takes time away from healthcare staff that could otherwise be spent on patient-centric activities.

“Managing paper forms limits the effectiveness of a document management system and introduces bottlenecks that delay care and expose the organization to liabilities,” says Art Nicholas, Chief Revenue Officer at FormFast. “A document management system at the end of the day is valuable only if documents are properly stored and easy to retrieve.”

With 25 years exclusively focused on healthcare needs and over 1,100 hospital clients, FormFast is recognized as the industry leader in electronic forms and document workflow technology. FormFast’s enterprise software platform integrates with EHRs and other core systems to automate required documents, capturing data, and accelerate workflows associated with them.

With FormFast, healthcare forms are generated on-demand, complete with both patient and document barcodes. The information from the HIS system, including patient demographics, is embedded on eForms or patient wristbands for accurate document retrieval. This enables organizations to gain more control over their forms and the critical processes surrounding them.

Nicholas comments that while the healthcare industry is embracing paperless automation via EHR systems, they are realizing the critical process of informed consent is not addressed by many EHR systems.

Delivering forms at the point-of-care more effectively is crucial to improving patient experience and accelerating document completion

With FormFast, scanning barcodes on a patient’s wristband populates the appropriate forms for that patient. The patient can read the form on a tablet device at the point-of-care and conveniently sign the form electronically with their finger or stylus. Staff can then quickly self-sign the form and date-time stamps are automatically applied. Upon completion, forms are instantly added to the EHR, eliminating the need to manually archive the documents.

Due to FormFast’s seamless EHR and Document Management System integration, consent forms are automatically generated by receiving ORM messages via HL7. This streamlines the clinician’s workflow and ensures all appropriate consents are completed—promoting safety and efficiency in care delivery.

FormFast understands that in today’s healthcare setting, paper processes can no longer keep pace with clinicians on the move. FormFast’s Mobile Consent Solution is powered by FormFast Go, a mobile app that enables clinical forms to be electronically displayed, completed, and e-signed via a mobile tablet at the point-of-care.

“Adding mobility to this informed consent process was very important to us,” says Nicholas. “Delivering forms at the point-of-care more effectively is crucial to improving patient experience and accelerating document completion.”

Nicholas points out a common concern FormFast hears from healthcare stakeholders is the lack of time, staff, or financial resources needed to properly manage their eForms technology. FormFast’s Managed Form Services Offering addresses this challenge as a team of form specialists take the burden off in-house healthcare staff by converting, designing, and managing all form processes for an organization.

“We believe our solutions are a critical component of effective document management, as we provide the technology and the team needed to ensure healthcare documents are properly completed, stored, and archived— every time,” said Nicholas.
